I’m stealing this hiring automation


My friend Josh Martin is one of the top Smoothie King owners in the country

He has ~20 employees per location so they are constantly hiring.

He was frustrated spending a lot of time setting up interviews just to have people no-show.

So built an automated screening process that eliminates all the bad candidates, leaving him to only interview the best

This is such a great idea that I’m stealing it!

Here’s how it works:

Josh posts his add to a platform that syndicates to Indeed + other job boards.

Once a candidate applies, it kicks off this workflow:

  1. Added to Monday.com list (separated based on role)
  2. Resume is attached to Monday task
  3. Text/email sent to candidate with a link to questionnaire
  4. Questionnaire answers auto rejects or moves them forward
  5. Text/email sent with a link to video interview where the candidates records selfie-style responses to pre-recorded questions
  6. Hiring manager only review candidates who complete everything
  7. Text/email a link for candidate to schedule an in-person interview

Everything leading up to the manager’s review (#6) happens automatically.

Before, it was a very manual process to weed through all the resumes. Then constantly chasing people down to schedule calls.

Lazy people aren’t going to go through all these steps.

Now, they are only reviewing the resumes of the people who really want the job.

What stood out to me wasn’t just the time saved; it’s how they are investing that time.

Hiring managers (who wear many hats) can spend more time landing catering clients, school fundraisers, and other money-making activities.

This is probably one of the best use cases of AI/automation turning admin time into profit time.

My team has the same pain manually going through thousands of resumes per year.

So implementing something similar could be a game-changer!
